Booking a Last-Minute Private Jet: What to Know

How last-minute private jet charter works: why availability changes, when an aircraft is confirmed, payment and cancellation, and how to improve your odds.

By Velox Jets2 min read

Private jets can often be arranged at short notice, sometimes within a few hours. Short-notice trips have fewer aircraft to choose from, though, and the terms are stricter. Here's what to expect when you book close to departure, and how to give yourself the best chance of getting the aircraft you want.

Fewer aircraft to choose from

Only a fraction of the private aircraft in the US are available for charter. Of those, fewer still are flown by operators with independent safety ratings such as ARGUS or Wyvern. Around holidays and major events, many are already booked. The closer you get to departure, the narrower the choice becomes, and pricing tends to firm up with it.

When you can, request a quote as soon as your dates are likely. You'll get more options and more time to compare them.

A quote isn't a confirmed aircraft

Many charter aircraft are privately owned and managed by an operator. Their availability may need the owner's approval, marked "owner's approval required" on a quote. Owners can decline because they want to use the aircraft themselves or because of a schedule conflict. Maintenance can also run late.

An aircraft is generally only confirmed once the contract is signed and payment, or a card authorization, is in place. On a last-minute trip, move quickly once you've chosen. If an aircraft falls through, a good advisor will already have alternatives lined up.

Payment terms

On short-notice trips, operators usually want payment in full before departure, often by wire transfer. Some accept credit cards, sometimes with a processing fee. Check how and when payment is due so it doesn't hold up the booking.

Cancellation terms

Cancellation terms are set by the operator and tighten close to departure. A trip booked within a day or two of flying is usually already inside the strictest window, where cancelling can cost most or all of the charter price. One-way trips, especially in peak season, are often non-refundable.

Read the cancellation clause before you sign. Ask what happens if the operator cancels, for example because of a mechanical issue. In that case the operator or broker should find a replacement aircraft or refund you.

How to improve your odds

  • Be flexible on airports: a nearby airport can open up more aircraft. See the beginner's guide for what else to have ready.
  • Be flexible on aircraft class: a slightly larger or smaller jet may be available when your first choice isn't. Compare classes on our aircraft page.
  • Ask about empty legs: if your timing happens to match, a repositioning flight can work well; see empty leg flights explained.
  • Have your details ready: passenger names, ID details, luggage and any pets, so the contract and manifest can be completed quickly.

If you fly often at short notice, a membership can lock in access and rates ahead of time. See Velox Reserve, or contact our team for a quote on your trip.
